The Virginia Counselors Association is calling for professional presentation proposals for its Annual Convention, which will be held November 14-16, 2024, at the Hampton Convention Center & Embassy Suites.  VCA will uphold NBCC requirements to ensure that continuing education credits earned during the convention are of the highest quality. It is essential that you complete this form in its entirety and with information that is accurate to the best of your knowledge. Failure to do so will result in a declined proposal.  Once you have completed the form and added all presenter information, be sure to click the "Submit" button.  You will receive a confirmation email immediately, if your submission was done correctly.  The deadline to submit proposals is June 3, 2024.
 
NOTE:  If submitting two proposals, it is best to click on FINALIZE AND SUBMIT REGISTRATION  button and submit the second proposal from the beginning, instead of clicking on the SAVE AND ADD ANOTHER ATTENDEE  button.
 
General Information 
The VCA convention is an annual professional development opportunity for counselors who work in a variety of settings. The goal of the convention is to offer a diverse selection of programs for both new and experienced counselors. We are particularly interested in programs that address collaboration among a variety of interests or practice areas (i.e.: school counselors and private practitioners). The convention draws counselors from across the state of Virginia and offers exhibits representing a wide variety of educational programs and products.
 
Sessions 
VCA will be offering morning and afternoon sessions on Thursday, Friday and Saturday (November14, 15 & 16), one hour in length. According to VCA policy, each VCA division is guaranteed a minimum number of three (3) interest sessions, if deadlines and acceptance criteria are met. Availability of Presenters
Program presenters agree to present their selected program(s) at any time and on any day of the convention as described above. Scheduling is determined by the Program Committee.
 
Audio-Visual Equipment 
VCA does not provide laptops, microphones or speakers. 
Program Proposal Submission
Proposals for 2024 must be submitted on-line and require the following information:
✓ General contact information
✓ Session Title, format, and intended audiences
✓ Lead Presenter, Credentials (e.g. PhD, LPC), Title, Employer
✓ Co-Presenter(s), Name & Credentials (3 Max)
✓ Session Synopsis (limit 50 words)
✓ Session Abstract (limit 500 words)
✓ Session Learning Objectives (5 max)
 
Session & Workshop Formats
Regular Session:  60 minutes in lengthPanel Discussion: 60 minutes in lengthPoster Session: 30 minutes in length
Conference Policies 
ü  ALL PRESENTERS AND CO-PRESENTERS MUST REGISTER FOR THE CONVENTION! 
ü  VCA members agree to volunteer their services to the program without reimbursement for travel expenses, registration fees, or honoraria.
ü  The Lead presenter will receive all communication(s) from VCA. 
ü  There may be no more than four (4) presenters per program. (1 lead presenter & 3 co-presenters)
ü  Individuals may not be included on more than two (2) presentation proposals.
ü  Program presenters agree to present their selected program(s) at any time, on any day of the convention as described above.  Scheduling is determined by the Program Committee.
ü Graduate level students may not be listed as the lead presenter; however, can be listed as a co-presenter.  (Graduate students can be the lead presenter for poster & regular sessions or if they have already graduated with their Masters in a counseling related field at the time of submission.)

The Virginia Counselors Association is proud to announce our annual Leadership Academy.  It is designed to be a foundational training experience for emerging 2024-25 VCA leaders.
NOTE!! Registration deadline if lodging is needed is August 27, 2024 
Who should attend?
Ø  Each VCA Chapter & Division are encouraged to send two members from their 2024-25 Executive Board ($50.00 fee per person)
 
Ø  VCA Executive Board members and designated committee chairs serving on the 2024-25 VCA Board of Directors ($50 fee covered by VCA, email vcaoffice@cox.net)
 
Ø  2024 VCA Michele Dowdy Emerging Leader Student Grant Winners ($50 fee covered by VCA, email vcaoffice@cox.net)
 
Ø  2024 VCAF Pete Warren Scholars ($50 fee covered by VCA Foundation, email vcaoffice@cox.net)
 
Registration includes lodging Friday (double occupancy), Friday afternoon breakout snacks & Saturday breakfast items, afternoon breakout snacks and lunch.
(All costs are based on room sharing. Participants may indicate desired roommates when registering online.  There is an option on the registration form where participants can register for a private room; however, an additional fee of $105 applies. Any refunds are subject to a $50.00 service charge. All exhibits are subject to hotel policies for shipping, safety regulations, and electrical requests. Arrangements and payment for any technology or electrical needs are the responsibility of the exhibitor. The exhibitor assumes the entire responsibility and liability for losses, damages, and claims arising out of exhibitor’s activities on the hotel premises and will indemnify, defend and hold harmless the hotel, the VCA, their agents, servants and employees from any and all such losses, damages and claims. Exhibits may be set-up after 6:00 p.m. on November 13, 2024 and all exhibits shall be removed by 8:00 p.m. on November 15, 2024.   Exhibitor assumes the entire responsibility and liability for losses, damages, and claims, including without limitation, bodily injury and death, arising out of exhibitor’s activities on the Hotel’s premises (together “Liabilities”). Exhibitor covenants not to sue and agrees to indemnify, defend, and hold harmless the Hotel, and its parent corporation, as well as their respective trustees, directors & officers, agents, servants, and employees from any and all such Liabilities. The Hampton Roads Convention Center is a third party beneficiary of this indemnification.
