  44. <p>Lotus (HCL, IBM) Notes, was an industry dominant application development platform that proliferated within organizations around the world. While organizations initially adopted the platform for its highly scalable messaging capabilities, it would ultimately be leveraged as an application development platform. By integrating forms and views with its non-relational database structure and base functionality such as workflow, messaging, and document security, developers would create complex collaborative applications.</p>

  48. <h2 class="wp-block-heading">The Migration Challenge</h2>

  52. <p>The difficulty in migrating Domino applications is that most destination platforms are very different than the Notes Domino Application Platform. Comparatively, a product like SharePoint which was slated as the replacement for Domino does not provide the features that Notes Domino does. SharePoint was created as a departmental document management solution, not an application development platform. In order to replace Domino applications with SharePoint, additional thirdparty plug-ins must be added to SharePoint to address core functionality such as workflow, forms, and security. At best, this ad hoc approach creates a long and difficult development process, where the newly created application is typically inferior to the original Domino application and completed at such a high cost, it thwarts future migration attempts.</p>

  60. <p>Vertex sought a cost effect alternative that would provide all of the features users were accustomed to, while liberating them from the original Notes platform. Having worked with Rivit to archive their legacy Domino applications using the Dcom solution, Vertex reached out to explore Rivit’s Revive solution. The Revive solution is a modern and open standard enterprise application framework that reflects the core elements of Notes Domino while incorporating migration accelerators to automate the logic and data conversion from Domino. In far less time than it took to build the original Domino applications, Vertex was able to roll out modern web applications to their organization and completely eliminate the Lotus Notes Domino platform from their organization.</p>

  125. <p>Ten years ago, Rivit emerged from a Domino services and solutions company to one focused on helping our clients migrate their Notes Email and applications. Working alongside our clients, it became evident that the sheer number of applications and amount of data to migrate was concerning. What became clear almost immediately was a requirement to not only scale down the number of applications to migrate, but also have a way to offload non-critical applications to an alternative low-cost archiving solution where users could still get to legacy applications and corresponding data quickly, and at little effort to the enterprise.</p>
  126. <p>Rivit was in a unique position to solve the issue. Our former organization, metalogic, had built and delivered to the market a suite of Notes email management solutions. We had a dedicated team of archiving specialists ready to take action.</p>
  127. <p>With our team refocused, we created a list of principles that would guide the creation of Dcom and would eventually lead to our full migration solution for Notes applications, Revive.&nbsp; It was decided that companies shouldn’t have to halt day-to-day IT operations to facilitate the deprecation of the Notes environment or be boxed into a new platform.&nbsp; So the 5 core prerequisites for our migration solutions included:</p>

  129. <h4>1. Opensource Technologies that did not include additional licensing concerns.</h4>
  130. <h4>2. Migration utilities that did most, if not all, of the heavy lifting.</h4>

  132. <h4>4. Support of Notes views so that users wouldn’t require training.</h4>
  133. <h4>5. Support of the existing Domino Security so IT administrators weren’t burdened with excessive deployment and configuration effort.</h4>

  161. <p>Although most organizations that use IBM Domino have started a migration from the platform, few have found a way to complete it.</p>

  163. <p>Although most organizations that use IBM Domino have started a migration from the platform, few have found a way to complete it.&nbsp; While moving Lotus Notes email proved a fairly easy task, the migration of IBM Notes-based applications has been quite the opposite.&nbsp; Companies have spent years attempting to migrate their applications, only to now face issues that appear insurmountable. With misleading promises of simplicity, organizations are now realizing increased licensing costs, unmanageable proprietary solutions, unsupportable legacy code, and long-term support contracts.</p>
  164. <h2>The IBM Notes Dilemma</h2>
  165. <p>It’s been more than ten years since we began to see the decline in interest in IBM’s Lotus Notes &amp; Domino platform.&nbsp; It was evident IBM was struggling with the positioning of the platform.&nbsp; IBM&#8217;s software catalogue had numerous products that directly competed with IBM Domino and so instead it was positioned as a collaborative or email product.&nbsp;&nbsp; It was not seen as an enterprise rapid application development environment as it had been used for years prior.&nbsp; If you were looking for an application development platform IBM steered you toward DB2, Rational, or WebSphere. The long-term viability of Lotus Domino was also impacted by the fact that the product itself had been around since the ’90s, and significant portions of its code have never been touched or updated which meant the cost to update the platform wasn’t going to be insignificant.&nbsp;&nbsp; So, IBM let it flounder, the industry took notice, and Notes Domino became a legacy platform.</p>

  167. <h2>Sharepoint Isn&#8217;t HCL Domino!</h2>
  168. <p>Microsoft did an exceptional job presenting competitive solutions to Lotus Notes Domino, and Office 365 soon became the de-facto platform for migrated Notes email.&nbsp; Microsoft also maintained that SharePoint was going to be an ideal destination for Domino applications, but that hasn’t proven to be the case.&nbsp; While some organizations achieved limited success moving simple document repositories to SharePoint, most have found it far too limiting in reproducing Domino business applications.&nbsp; Not only was it impossible to deliver the same level of functionality and usability as the original Domino application, but the migration/development process also ended up taking on a significantly higher cost than the original cost of developing the Domino application.&nbsp; &nbsp;With increased application complexity in the native Domino application, migrating to SharePoint has largely been a failure.</p>
  169. <h3>Can a Third Party Solution Replace Domino?</h3>
  170. <p>Proprietary 3rd party solutions can appear to be promising, but they typically only address a very small subset of applications.&nbsp; Also, they are often based on non-enterprise technologies that require architectural exceptions that can be difficult and costly to maintain. In the end, most organizations have been forced to leave their applications on Domino, without a migration plan.&nbsp; But the “do nothing” strategy means you now have outdated applications, aging or nonexistent Domino expertise, and unfulfilled end user requirements.&nbsp; It’s a big problem that is only getting bigger.</p>

  210. <p>While most of our clients use Dcom to archive their Notes Domino applications, a number of our clients also use Dcom to archive legacy email.</p>

  212. <p>While most of our clients use Dcom to archive their Notes Domino applications, a number of our clients also use Dcom to archive legacy email. Yes, they could move these archives to their new O365 platform, but that comes at a higher cost, increased project time, and increased storage requirements. An alternative is to convert these archives to local PST files, but in doing that you’ve lost the ability to search these PST files globally.</p>
  213. <p>Notes Email is just another application to Dcom. And because Dcom can easily be integrated into Outlook, users can have searchable, sortable access to both archived email and archived Lotus Notes/Domino application databases directly within their Outlook client.</p>
  214. <h2>Here&#8217;s How Simple it is to Add a Dcom View to Outlook:</h2>
  215. <p>1. Open Outlook.<br />
  216. 2. Right click on your inbox and select New Folder<br />
  217. 3. Name it DCOM<br />
  218. 4. Right click on DCOM and select Properties<br />
  219. 5. Edit the properties name and put in your DCOM server address<br />
  220. a. https://&lt;&lt;DCOMSERVER&gt;&gt;<br />
  221. 6. Save it.</p>

  223. <p>You will now have a DCOM link in Outlook and can now access your archived email and Domino/Notes applications from outlook.</p>
  224. <p>Using DCOM you can search, filter, and sort archived email and database applications from either the Dcom Web Interface or Outlook.</p>

  256. <p>I can&#8217;t say enough about <a href="https://www.redmine.org/">Redmine</a>.&nbsp; Rivit uses it to Manage Projects, Help Desk Issues, and Time and Attendance.&nbsp; I&#8217;ll speak more to how we use it in a future Blog.&nbsp; But I wanted to focus on an ongoing issue we&#8217;ve had and how we dealt with it.</p>
  257. <h2>Rivit&#8217;s Implementation</h2>

  259. <p>Our implementation of Redmine uses MYSQL.&nbsp; It&#8217;s cloud-based.&nbsp; When we initially set this up years ago, we didn&#8217;t notice that new databases were created with UTF8_swedish_ci collation and character set.&nbsp; Redmine worked great.&nbsp; But&#8230;. as we started allowing international clients into Redmine they started to complain about an Error 500 showing up.&nbsp; They couldn&#8217;t save any issues that they reported to us.&nbsp; We triaged the problem and found out it was double-byte characters.&nbsp; Japanese, accented characters, etc&#8230; could not be entered into a subject, description or comment.</p>
  260. <p>We finally found out that it was the MySQL table definition that was causing the problem.&nbsp; Most people who reported this issue attempted to use the SQL&nbsp; &#8220;ALTER table&#8221; command to change the collation and the field level characters set.&nbsp; This has the potential issue of losing data.</p>
  261. <h2>A Simpler Way of Dealing with It:</h2>
  262. <p><!-- /wp:paragraph --></p>
  263. <ol>
  264. <li>Using PHPMYADMIN we copied the structure of the database in question to a new database.</li>
  265. <li>We than used the following SQL statement on the new empty database &#8211;&nbsp;<code>ALTER DATABASE &lt;database_name&gt; CHARACTER SET utf8mb4&nbsp;COLLATE utf8mb4_general_ci;</code></li>
  266. <li>We than converted each table in the new database using the following SQL statement &#8211; <code>ALTER TABLE mytable CONVERT TO CHARACTER SET utf8mb4&nbsp;</code></li>
  267. <li>We than went back to the original database in PHPMYADMIN and copied the data from the database.&nbsp; ONLY the data.&nbsp; This creates a series of insert statements in a sql file.</li>
  268. <li>Lastly we opened the new empty database in PHPMYADMIN and imported the SQL dump that was created above.</li>
  269. <li>Rename the old database.&nbsp; We added a date to the end of the database name</li>
  270. <li>Rename the new database to match the original database name</li>
  271. </ol>
  272. <p>Success.&nbsp; No Data loss.&nbsp; Redmine now has the ability to use double-byte characters.</p>

It was called Lotus Workplace Messaging.&nbsp; Last night I found this <a href="http://www.cio.com/article/2441969/enterprise-software/the-low-down-on-low-cost-e-mail-systems.html" target="_blank" rel="nofollow noopener">CIO</a><a href="http://www.cio.com/article/2441969/enterprise-software/the-low-down-on-low-cost-e-mail-systems.html" target="_blank" rel="nofollow noopener"> magazine</a><a href="http://www.cio.com/article/2441969/enterprise-software/the-low-down-on-low-cost-e-mail-systems.html" target="_blank" rel="nofollow noopener"> article</a> on it.&nbsp; The actual title of this post is based on that CIO magazine article.&nbsp; In the article, I talked about LWM and the work we did with one of our clients in Japan.</p>
  303. <p>What were the reasons that I would fly halfway around the world to help architect and install a new software product?&nbsp; What were the driving factors that provided this opportunity?&nbsp; The answer is simple, at the time LWM fit a niche.&nbsp; A low-cost email system that could be delivered to thousands of employees with little hardware requirements.</p>
  304. <p>Today, Lotus Workplace Messaging (LWM) no longer exists.&nbsp; In fact, LWM met its demise in 2008.&nbsp; Around that same time, we migrated the client to an alternative platform. &nbsp; Just recently we successfully migrated the same 3500+ users to Office365.</p>
  305. <p>Although 12 years have gone by, the needs of the community haven’t changed. &nbsp;There is a continued push to empower all workers in a company whether they be office workers, insurance agents, salespeople, assembly line workers, etc&#8230; &nbsp;There continues to be a need to deliver email in the most cost-effective and efficient way.</p>
  306. <p>However, today we have Office365.</p>

  309. <li>There are no hardware refreshes you have to worry about,</li>
  310. <li>It&#8217;s easy and cost-effective to add new employees,</li>

A decision was made recently to create a new company that would remain focused in the Lotus Domino arena. Our product division is important to us and we feel this spin off will give us all the ability to provide you and our products the important focus and attention required. The core group of people that have worked with you over the years will be part of the new company and will continue to support you.
